1. Definitions
- Conference refers to the XIV International Conference on Grapevine Breeding and Genetics (GBG 2026).
- Organiser refers to 385 Meet & Events d.o.o., the appointed Professional Conference Organiser for GBG 2026.
- Delegate/Participant refers to any individual registered for the Conference , including students, accompanying persons, exhibitors, and speakers.
- Registration Fee refers to the amount payable to attend the Conference as defined by the Organiser.
2. Registration
2.1. By registering for the Conference, the Delegate agrees to provide complete and accurate information.
2.2. Registration is only confirmed once full payment of the Registration Fee has been received by the Organiser and the Delegate receives formal Confirmation of Participation via email.
2.3. The Organiser reserves the right to refuse or cancel a registration at its discretion in case of non-compliance with these Terms and Conditions.
2.4. The Delegate acknowledges and accepts that registration is personal and non-transferable unless explicitly authorised by the Organiser.
3. Payment
3.1. Registration Fees are payable in EUR, by bank transfer or credit card. All transfer and credit card charges are borne by the Delegate.
3.2. Any modification of an issued invoice (e.g. VAT number, billing address, name changes) will incur an administrative fee of €50.
3.3. Delegates are responsible for ensuring that payment is received by the Organiser within the specified deadline. Unpaid registrations may be cancelled.
4. Cancellation and Refunds
4.1. All cancellations must be communicated in writing to the Organiser at rh.stneve583 @6202gbg.
4.2. Refund policy:
- Cancellations received before March 1, 2026: Full refund minus €50 administrative fee
- Cancellations received between March 2 and May 15, 2026: 50% refund
- Cancellations received after May 16, 2026: No refund will be issued
4.3. Substitutions of registered Delegates may be accepted until June 15, 2026 subject to prior written notice to the Organiser.
4.4. The Organiser reserves the right to retain the Registration Fee in case of a Delegate’s failure to attend the Conference for any reason.
5. Data Protection
5.1. The Organiser shall process personal data of Delegates in accordance with applicable EU legislation, in particular the General Data Protection Regulation (GDPR).
5.2. Personal data will be collected and processed exclusively for purposes of registration, administration, and communication regarding the Conference.
5.3. Data will not be disclosed to third parties without prior consent of the Delegate, except when necessary for the fulfilment of the Conference ’s organisational purposes.
6. Safety, Conduct, and Venue Regulations
6.1. Delegates shall comply with all safety, health, and security regulations imposed by the venue.
6.2. Distribution of promotional materials, flyers, or samples is strictly prohibited unless authorised in writing by the Organiser.
6.3. Recording, streaming, or broadcasting of Conference sessions is prohibited without prior written approval of the Organiser and the speakers concerned.
6.4. The Organiser reserves the right to refuse admission or remove from the Conference any Delegate who engages in disruptive, unsafe, or unlawful behaviour.
7. Photography and Media
7.1. The Organiser may arrange for photography and video recording during the Conference . Such materials may be used for promotional and educational purposes.
7.2. Delegates who do not wish to appear in such materials must notify the Organiser in writing before the start of the Conference.
8. Certificates of Attendance
8.1. Certificates of Attendance will be available to Delegates after the Conference.
8.2. Certificates may be downloaded via the official registration system until [date].
9. Liability and Insurance
9.1. The Organiser shall not be held liable for cancellation, delay, or modification of the Conference due to events of force majeure, including but not limited to natural disasters, pandemics, strikes, acts of war, terrorism, or government restrictions.
9.2. The Organiser cannot accept liability for personal injury, loss, or damage to property belonging to Delegates or accompanying persons, whether occurring during or as a result of participation in the Conference.
9.3 Delegates are strongly advised to take out their own travel, health, and personal insurance for the duration of the Conference.
10. Complaints
10.1. Any complaints shall be submitted in writing to rh.stneve583 @6202gbg.
10.2. Complaints will be reviewed individually, and the decision of the Organiser shall be final and binding.
11. Governing Law and Jurisdiction
11.1. These Terms and Conditions are governed by the laws of the Republic of Croatia.
11.2. Any disputes arising in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts in Zagreb, Croatia.
12. Amendments
12.1. The Organiser reserves the right to amend these Terms and Conditions at any time. Delegates will be bound by the Terms and Conditions in effect at the time of their registration.
